Importing and Exporting Data
Importing data into LabManager
Many laboratories keep partial or complete inventories in spreadsheets. LabManager can import from Excel or similarly formatted spreadsheets PROVIDED THAT the column headings for the information match those used by LabManager. LabManager can provide you with a preformatted spreadsheet for this purpose.
When opening LabManager or from the "Management Functions" screen, select setup. On the "SetUp" screen slect the "Import or Export Records from Excel" button. On the "Export or Import" screen, click on the "Generate Blank Excel Template for Import" button. Follow the dialog boxes to save the resulting spreadsheet on your desktop. The spreadsheet can be opened in Excel. Cut and paste the data from your inventory spreadsheets into the new spreadsheet. It is not necessary to fill every column. For a list of the column header definitions click here. Save the spreadheet.
Now click on the "Import an Inventory From Excel" button. There is a warning that the column headers must be correct. Then follow the dialog box to select the filled inventory spreadsheet on the desktop. Labmanager will import these items directly into the Inventory. This action will NOT populate the Requisitioners, Companies, Locations or popup menus. To set these up see "Setting Up LabManager". Click on "Done" when you are finished.
Exporting to Excel
To export the inventory from LabManager to an Excel spreadsheet, again navigate to the Export or Import screen. This time click on
the "Export Entire Inventory to Excel" button. Follow the dialog boxes to place the inventory spreadsheet in the desired location on your computer. Only items in the Inventory will be exported. Those still on order and those in the "Archive will not be recorded". A complete list with these as well can be exported from the "Reports" screen by selecting not filters for person or company, and a report on total items. Click on "Done" when you are finished.
Exporting a chemical inventory for health and safety
Many environmental health and safety departments require an updated list of chemicals in each room. LabManager can automatically generate this list. Navigate to the "Export or Import" screen as above. Click on the "Export Chemical Inventory to Excel" button. Follow the dialog boxes to save the resulting Excel spreadsheet. This spreadsheet can be submitted to your health and safety department as needed to provide an updated inventory of chemicals in the laboratory. Note that the Room Numbers will only be accurate if the room number for each named storage location is entered in the "Locations" screen. Click on "Done" when you are finished.
